e-CMR and digital consignment notes

Drivers capture the consignment note, the signature and the proof on an ordinary smartphone at the moment of delivery. It reaches your office before the truck has left the yard, and your rate rules turn it into an invoice without anyone retyping it.

What a paper CMR actually costs you

A paper consignment note is only finished when it physically reaches your office. That means it travels in a cab for the rest of the shift, sits in a folder overnight, and arrives days after the delivery it describes. Until it lands, you cannot invoice, and you cannot prove anything to a customer who disputes the drop.

The failure modes are ordinary rather than dramatic. Notes get wet, get lost between depot and desk, come back with a signature nobody can read, or come back with a handwritten damage note that never makes it onto the claim. Every one of those is a cost that lands somewhere other than the transport budget.

A digital CMR closes that gap. The driver captures it where the delivery happens, the data is in your back office immediately, and the document, the signature and any photographs stay attached to the trip for as long as you need them.

What the driver captures, and what you get

Everything the paper note carried, plus the parts paper never handled well.

Signature at the drop

The recipient signs on the driver's phone. The signature is stored against the trip, timestamped, with no ambiguity about who accepted what.

Photographic proof

Drivers attach photographs to the note, so damage or a refused pallet is documented at the point it is discovered rather than described from memory a week later.

Instant back-office delivery

The completed note reaches your office the moment it is signed. Nobody waits for the cab to come back before the trip can be closed.

Straight into invoicing

A completed note feeds your own rate rules, so fuel, distance and time are applied automatically and the invoice does not need re-entering.

Equipment movements on the same note

Returnable packaging collected or left behind is recorded on the same document as the delivery, so the equipment trail and the freight trail do not diverge.

Kept and searchable

Notes stay attached to the trip and stay searchable, so answering a query from three months ago does not mean going through a filing cabinet.

What to look for on the note

The consignment note above is a real one from Retrack TMS. Four details on it are worth a second look:

Three signatures

Shipper, driver and consignee, all captured at the drop rather than collected afterwards.

Actual against expected times

Loading and unloading are stamped as they happen and sit next to the planned window, so delays are evidenced rather than argued.

Equipment reconciled on the freight document

Carrier types with ordered, loaded and returned counts, and the difference. Most consignment notes cannot record this at all, so the equipment balance ends up in a separate spreadsheet.

Problems recorded where they happened

Loading and unloading issues are noted on the document itself, at the point of discovery.

Does a digital CMR count as a legal document?

Under the eCMR protocol to the CMR Convention, an electronic consignment note carries the same legal weight as a paper one between countries that have ratified it. The Netherlands, Belgium, Germany, Spain, France and a growing list of others have done so, which covers most of the routes our customers run.

Ratification is still uneven across Europe, so on some lanes a paper note is still required. Retrack TMS does not force the choice: you can run digital where it is accepted and print where it is not, from the same trip record, rather than operating two systems side by side. If you are unsure which of your lanes qualify, it is worth checking with your own freight lawyer rather than taking a software vendor's word for it.

What changes once the note is digital

The gains are mostly in time your back office stops spending.

Same day

Invoice on the day you deliver

The trip can be closed and billed as soon as it is signed, instead of waiting for paper to travel back to the office.

No re-entry

The data is typed once

What the driver captures is what the back office works from. Nobody transcribes a note into a system, so the transcription errors stop too.

Evidence attached

Disputes end faster

A signature, a timestamp and a photograph attached to the trip settle most delivery disputes without a negotiation.

One record

Freight and equipment stay together

Because the packaging movement sits on the same note, the two records cannot drift apart and need reconciling later.

Questions about e-CMR

Do drivers need a special device?

No. An ordinary smartphone. The app carries the route, sends location back in real time, and captures the consignment note, the signature and any photographs at the drop.

What happens where the customer will not accept a digital note?

You can print from the same trip record. The point is that the data lives in one place; whether a particular customer or lane needs paper output is a separate decision and does not require a second system.

Can we still capture damage and refusals?

Yes, and it is usually better than paper. Drivers attach photographs and notes at the point of discovery, timestamped and tied to the trip, rather than writing something in a margin that has to be interpreted afterwards.

Does it connect to our existing systems?

Yes. Retrack TMS connects through native integrations, EDI, APIs and webhooks, so completed notes can flow into the systems you already run rather than sitting in a separate silo.

How long are notes kept?

Notes stay attached to the trip and remain searchable, so you can answer a query about a delivery long after it happened without retrieving physical paperwork.
